01 / What I fix

Cost & Profitability

Find the spending, supplier terms and jobs that quietly erode your margin.

A clearer way through
01

Agreed rates

02

Actual costs

03

Exceptions

Clearer margin

Illustrative process, not a promised result.

Illustrative situation

Supplier costs

The problem
Invoices drift away from agreed rates.
What could improve
Catch possible overpayments before they add up.

Illustrative situation

Job profitability

The problem
Busy projects can still lose money.
What could improve
See which work earns its place, and which needs attention.

What gets delivered

Contract controls, a purchasing review and margin reporting.

What I measure

Cost, discrepancies and job margin.

AI reads, a person decides / Prior result noted; proposed workflow illustrative

Contracts written for the business you had three years ago

Prices, terms and service levels drift. The agreement doesn't. Nobody finds out until a dispute or a penalty.

What changes: An AI assistant reads every live agreement against your current terms and lists what's inconsistent, expired or missing. I did this by hand once: it's what took penalties from $250,000 a year to zero.

Analysis, built once / Prior result noted; proposed workflow illustrative

Some jobs lose money. Nobody knows which.

Every job's costs and invoice already sit in your software. Nobody has the week it takes to read four hundred of them.

What changes: A monthly job-margin report that names the jobs, customers and services that lose money, and why. I fixed one contractor rate this way and reversed a $100,000-a-year loss.

Purchasing / Illustrative scenario

Quietly overpaying suppliers

Invoices are paid without checking them against contract rates, expired terms or duplicate charges.

What changes: AI reads contracts and invoices, rules flag possible overpayments, and someone checks each flag before a dispute or renegotiation.

Professional services / Illustrative scenario

No idea which projects actually make money

Time, costs and change orders aren't tied back to each project, so pricing is a guess.

What changes: Job costing built once in tools you already own, with a monthly view of margin by project and client.

Operations & Workflow

Make daily work reliable, from the office to the field.

A clearer way through
01

Request arrives

02

Ready to dispatch

03

Work completed

Record complete

Illustrative process, not a promised result.

Illustrative situation

Field information

The problem
Teams arrive without the details or parts they need.
What could improve
More complete visits, with less paperwork to chase.

Illustrative situation

Office coordination

The problem
Intake and follow-ups depend on manual reminders.
What could improve
A clear next step and owner for every request.

What gets delivered

Structured intake, digital work orders, owners and exception checks.

What I measure

Time, errors, repeat visits and completeness.

AI + public data / Illustrative workflow

Renting out vehicles with open safety recalls, without knowing it

A rental fleet can't check hundreds of cars by hand, so nobody does. Transport Canada estimates more than one vehicle in five on Canadian roads has an unresolved recall.

What changes: Every night a small program checks the whole fleet against Transport Canada's public recall data, flags any match, and blocks the car in the booking system until it's cleared.

Configuration, not AI / Illustrative workflow

The website says you have it. You don't.

Inventory, availability or crew capacity is updated by hand, so the website, the booking system and reality disagree.

What changes: One system is the source of truth and feeds the others. Usually a setting in software you already pay for. No AI required, and I'll say so.

Field service / Illustrative scenario

Technicians arrive without the right parts

Dispatch runs on email and spreadsheets, work orders are inconsistent and photos come back incomplete, so visits get repeated.

What changes: One digital work order with required fields and photos, parts checked before dispatch, and a daily AI summary of jobs missing information.

Clinics / Illustrative scenario

Growth is burying the front desk

Intake forms, scheduling changes and follow-ups are handled by hand, and staff stay late to catch up.

What changes: Online intake that fills the record, automatic reminders, and a clear owner for every follow-up. Clinical decisions stay with clinicians.

Customer & Sales

Keep inquiries moving and give every customer request a clear owner.

Follow-up

Illustrative process, not a promised result.

Illustrative situation

Customer answers

The problem
Urgent questions get buried in the inbox.
What could improve
Quicker answers, grounded in the right information.

Illustrative situation

Sales follow-through

The problem
Quotes wait and good leads go cold.
What could improve
Keep opportunities moving without relying on memory.

What gets delivered

An intake queue, approved responses and a follow-up process.

What I measure

Response time, overdue inquiries and quotation turnaround.

AI drafts, you approve / Illustrative workflow

Quote requests arrive five ways and die in one inbox

Phone, text, web form, email, voicemail. Whoever is least busy answers, eventually.

What changes: Every request lands in one list with an owner and a reply-by time. AI drafts the reply and the quote from your price book; a person checks and sends.

E-commerce / Illustrative scenario

Hundreds of customer emails, nobody knows which are urgent

Order questions, returns and complaints land in one inbox and wait in arrival order.

What changes: AI sorts and tags each message, checks the order status and drafts a reply. A person approves anything that involves money.

Sales / Illustrative scenario

Plenty of leads, slow quotes, little follow-up

Quote requests sit for days and nobody owns the follow-up, so good leads go cold.

What changes: A simple pipeline with owners and due dates, quote templates, and AI-drafted follow-ups sent on approval.

01

Clear handoff

03

Team delivery

Leadership view

Illustrative process, not a promised result.

Illustrative situation

Project handoffs

The problem
Promises made at sale reach operations too late.
What could improve
More dependable delivery and fewer surprises.

Illustrative situation

Leadership capacity

The problem
Every exception comes back to the founder.
What could improve
Capable owners and more room to lead.

What gets delivered

Clear handoffs, decision rights, a project cadence and trained owners.

What I measure

Milestones, rework, exceptions and leadership time.

Fix the work first / Illustrative workflow

You'd hire tomorrow if the budget allowed it

The coordinator you want would spend the day chasing people, re-typing information and answering "where's my job?"

What changes: Work that shouldn't exist gets removed, work a tool you own can do gets configured, and what's left is usually a smaller role, or a promotion for someone already there.

Homebuilding / Illustrative scenario

Promises made at sale get lost before construction

Upgrades, dates and allowances live in a salesperson's notes and emails, and the site team finds out late.

What changes: A clear sale-to-build handoff with one record, sign-off on selections and an exception list the project manager reviews weekly.

Government bids / Illustrative scenario

Every proposal is written the night before

Requirements are found late, past answers are hard to find and reviews get skipped.

What changes: A bid calendar, a library of approved answers, and AI that pulls requirements into a checklist on day one.
